Purpose
This page explains how a Project Manager captures accurate measurements and photos during the on-site site assessment visit.
Who owns it
Project Manager (Sergio + PMs).
Trigger
A site assessment appointment on /appointments has arrived and the PM is on-site (or about to be).
Steps
- Open the Field Portal at
/fieldon your phone or tablet before heading to the appointment. - Confirm the correct opportunity and door list are loaded — this should match what was captured during CSR intake.
- For each door/opening, record precise measurements directly in the Field Portal.
- Take photos of each opening, the surrounding frame/trim, and any relevant site conditions (obstructions, unusual angles, existing damage).
- Note any discrepancies between what was quoted in the estimate/proposal and what you find on-site (e.g., a door that isn't a standard size, additional openings the customer wants addressed).
- Add any access, structural, or scheduling concerns as notes in the Field Portal.
- Submit/complete the field capture from
/fieldonce every opening has measurements and photos attached.
Done when
Every opening on the job has measurements and at least one photo recorded in /field, and the capture has been submitted.

Dispatcher or CSR for post-field routing — see /help/workflows/post-field-routing.
Common mistakes
- Leaving an opening without photos, which slows down scope validation later.
- Recording measurements from memory after leaving the site instead of on-site in
/field. - Not flagging discrepancies from the original estimate, which causes surprises during manufacturing.
Tip: /field is only accessible to Project Managers and Managers — if you can't see it in the sidebar, ask your manager to check your role in /admin/permission-sets.
