Purpose
This page explains how a completed estimate becomes a polished, sendable proposal.
Who owns it
Design Concierge, with support from the Door Expert (Phil).
Trigger
An estimate on /estimate is finalized and the customer is ready to receive a formal proposal.
Steps
- Open
/workbench(Proposal Workbench) for the opportunity. - Assign each estimate line item to its corresponding opening.
- Assign warranties to each opening as applicable.
- Use the built-in AI assistant in the workbench to help draft descriptions or clean up language for the customer-facing view.
- Preview the proposal exactly as the customer will see it.
- Confirm pricing options are presented in the correct order: Financing, Full Project (50/50), Discounted (100% down).
- Send the proposal to the customer from the workbench.
Done when
The proposal has been generated, previewed, and sent, and a record exists on /proposals.
Handoff to
Door Expert (Phil) or CSR (Danielle), who follows up with the customer to move it toward /help/workflows/proposal-to-sad.
Common mistakes
- Sending a proposal before assigning warranties to every relevant opening.
- Not previewing the proposal before sending — typos or missing openings are hard to fix afterward.
- Forgetting that proposals are immutable once created: any correction requires reversing ("unselling") and re-issuing, not editing in place.
- Listing pricing options out of order.
Warning: Once a proposal is created it cannot be edited. If something is wrong, you must reverse/unsell it and create a new one — see /help/workflows/proposal-to-sad for details on reversing a sold job.
