What it is

The Payments pages handle collecting money from customers — most importantly the SAD (Site Assessment Deposit), which is the payment that officially marks a job as sold. This section also covers project deposits and the manager approvals queue tied to discounted payment plans.

Who can use it

CSR, Manager, Executive. Admin and Executive bypass all page gates.

How to get there

/payments (overview), /payments/index, /payments/ledger (payment history), /payments/requests (outstanding requests), /opportunities/$id/payments/new (take a payment against an opportunity), /pay/... (customer-facing payment links), /approvals (manager approvals queue — not in the sidebar, reached only by direct link).

Step-by-step how-tos

Collect the SAD to mark a job sold

  1. From the opportunity, go to /opportunities/$id/payments/new.
  2. Select the SAD (Site Assessment Deposit) as the payment type.
  3. Send the customer a payment link or process it directly.
  4. Once the SAD is paid, the opportunity automatically becomes sold — there's no separate manual step.
  5. Remember: site assessment must then be scheduled within 48 hours.

Understand the payment option order

  1. When presenting payment options to a customer, they're always shown in this order:
    1. Financing (12 months, 0% interest) — shown first.
    2. Full Project (50/50) — shown second.
    3. Discounted (100% down) — shown third.
  2. Choosing the discounted option typically requires manager sign-off — the approval button reads Approve 100% down with discount.

Approve a discounted payment

  1. A manager checks the approvals queue at /approvals (this page is not linked from the sidebar — bookmark it or navigate directly).
  2. Review the request.
  3. Click Approve 100% down with discount to approve.

Check payment history or outstanding requests

  1. Use /payments/ledger to see everything that's been paid.
  2. Use /payments/requests to see what's been sent but not yet paid.

Tips & Warnings

Tip: Always present payment options in the standard order — Financing, then Full Project (50/50), then Discounted (100% down) — so customers see financing first.

Warning: /approvals isn't in the sidebar. If you're a manager and don't know this page exists, discounted payments may pile up unapproved — bookmark /approvals.

Note: Paying the SAD is the single event that marks a job sold on the pipeline — there is no separate "mark as sold" button anywhere in the app.
