Welcome to YND OS
YND OS is YourNewDoor.com's internal sales operations app. It's the single place where the team tracks customers, sells jobs, schedules work, and gets doors installed. If you touch a customer's journey in any way — from answering the phone to installing a slab — you'll spend time in YND OS.
Why we use one app for everything
Before YND OS, information about a customer could live in a spreadsheet, a phone note, an email, and a separate scheduling tool. YND OS pulls that into one record per customer and one record per Opportunity (a potential sale), so everyone — from the person who booked the first call to the installer showing up months later — is looking at the same information.
The customer journey, in short
- A customer shows interest — usually through the website (a Framer form) or a phone call.
- They become a Customer with an Opportunity in the New Lead stage on
/opportunities. - A Door Expert (sales rep) books and runs a consultation appointment, often using
/bookings/new. - An estimate is built (
/estimate), then a proposal is assembled in the Proposal Workbench (/workbench) and sent to the customer. - The customer pays the SAD (Site Assessment Deposit) — this is the moment the job is marked sold.
- A site assessment is scheduled (within 48 hours of sold, by policy), the scope is validated, a project deposit is collected, and the job moves into manufacturing and installation.
Example: Jane fills out the website contact form. A webhook creates her as a Customer with an Opportunity in New Lead on /opportunities, and her property details appear automatically on her customer page (via a service called RentCast). From there, a Door Expert reaches out to book her consultation.
Who does what
- Door Expert (Phil) — runs sales appointments, builds estimates and proposals, uses the Price Book, Catalog, Configurator, and Imagine.
- CSR (Danielle) — books appointments, manages customer communication, dispatch, payments.
- Project Manager (Sergio + PMs) — manages projects after the sale, uses the Field Portal.
- Dispatcher — manages Dispatch and Routing for field visits.
- Design Concierge — supports design tools like Configurator, Imagine, Inspirations.
- Reconciler — reviews Projects for financial/data accuracy.
- Manager — broad visibility across most areas, plus approvals.
- Executive — same broad visibility as Manager, with a few extra admin-adjacent pages.
- Installer — read-only access to Projects to see what's scheduled.
- Admin — manages users, permissions, and system configuration; the only role that can invite users or edit permission sets.
Note: These names are examples, not strict boundaries. Your day-to-day tasks are defined by your assigned role(s) and any extra permissions granted to you individually.
