Requesting a Role or Access Change
Roles and page access in YND OS are controlled by Admins. If you're a manager onboarding someone new, or an existing user who needs a different role or extra access, use this process.
When to submit a request
- A new teammate is joining and needs an account and role.
- Someone's job changed and their role should change (for example, a CSR moving into a Dispatcher position).
- Someone hit
/access-deniedon a page they legitimately need. - Someone needs one extra page beyond what their role normally includes.
What to include in the request
- Person's name and email (the account they'll sign in with).
- Requested role — pick one from: door_expert, csr, project_manager, dispatcher, design_concierge, reconciler, manager, executive, installer, admin.
- Any extra pages needed beyond the role default, and a short reason why (for example, a CSR who also needs Gallery access for a specific project).
- Who approved this — typically the person's manager.
Who to send it to
Send the request to an Admin. Only Admins can create accounts, assign roles, and edit Permission Sets (/admin/permission-sets) — this is true even though Executive can see the same pages as Admin in the UI; Executives cannot make these changes on the backend.
How Admins should fulfill it
- Create or update the account in Users (
/admin/users). - Assign the requested role.
- Prefer applying an existing standard Permission Set for that role over granting individual page access.
- If a genuinely new combination of access is needed, consider whether it should become a new standard permission set rather than a one-off, so it's easy to reuse and audit later.
- Confirm the demo-data flag is off for the account.
- Let the requester know once it's done, and point the new/changed user to Signing In.
Example
Danielle is being promoted from CSR to Manager. Her manager submits a request: "Change Danielle's role from csr to manager, effective Monday. Approved by [Manager Name]." An Admin updates her role in
/admin/users, confirms her permission set matches the standard Manager set, and confirms with Danielle once it's live.
Tip: If you only need access to one extra page (not a full role change), say so explicitly — it's faster for an Admin to grant one permission than to reassign your whole role.
Note: Because a handful of pages aren't gated by role today (see Navigation and General FAQ), some requests may turn out to be unnecessary — the page might already be reachable. Admins should still record the intended access so the sidebar and permission sets stay accurate over time.
