Sales Pipeline FAQ

What does SAD mean?

SAD stands for Site Assessment Deposit. Paying the SAD is the moment an opportunity is marked sold. It's the key milestone that separates "still selling" from "job won."

What are the pipeline stages?

An opportunity on /opportunities moves through: New Lead → consultation booked → estimate → proposal sent → sold (SAD paid) → site assessment → scope validation → project deposit → manufacturing release → installed.

Example: Jane submits the website form → she appears in New Lead on /opportunities. A Door Expert books her consultation, builds an estimate, and sends a proposal. Once Jane pays the SAD, her opportunity moves to sold.

Where do new leads come from?

Most come from the website via a Framer form webhook, which automatically creates the customer and an opportunity in New Lead, along with a property lookup (via RentCast) shown on the customer page. Others come from phone calls or manual entry.

What are "Necessary Components"?

They're required add-on items included on a proposal. Always call them Necessary Components — not "adders."

Where are estimates and proposals built?

  • Estimates: /estimate — an estimate builder with per-opening cards, Necessary Components, and a Repair Lane with a $99 deposit.
  • Proposals: the Proposal Workbench (/workbench) — assign items to openings, add warranties, use the AI assistant, then preview and send. Once sent, view it at /proposals/$id; the customer sees a read-only version at /p/$snapshotId.

Can I edit a proposal after it's sent?

No. Proposals are immutable once created. To correct a mistake, the proposal is reversed ("unsold") and a new one is issued — the original is never edited in place.

What payment options do customers see, and in what order?

  1. Financing — 12 months, 0% interest (shown first).
  2. Full Project (50/50) — shown second.
  3. Discounted (100% down) — shown third; approving it uses the button labeled Approve 100% down with discount.

How long is pricing held?

A pricing hold lasts 3 days.

How are dates shown?

Numerically, as MM/DD/YYYY.

Who can see Payments and Proposals?

  • Payments (/payments): CSR, manager, executive.
  • Proposals (/proposals): Door Expert, Design Concierge, manager, executive.

See the full breakdown in Navigation.

What's the Appointment Note Taker?

It records and transcribes sales calls (mic-only by default), shown as a sticky bottom recording dock with Stop, a timer, and a red/yellow/green coaching status indicator. It produces an AI summary afterward. The coaching framework behind it is ADD: Align, Discover, Design, Decide.
