What it is
The Appointment Note Taker records customer calls (mic-only by default), transcribes them, and produces an AI summary. While recording, a sticky dock at the bottom of the screen shows a live timer and a red/yellow/green coaching status based on the ADD framework: Align, Discover, Design, Decide. Finished recordings and their summaries live on the Call Recordings page.
Who can use it
CSR, Door Expert, Project Manager, Manager. Admin and Executive bypass all page gates.
How to get there
/recordings (list of past recordings and summaries). Recording itself is started from within flows like /bookings/new (automatically, via New Booking + Start Recording) or manually elsewhere in the app where the recording dock is available.

Step-by-step how-tos
Start a recording automatically
- From Mission Control, click New Booking + Start Recording.
/bookings/newopens and recording starts immediately — no extra click needed.- The recording dock appears at the bottom of the screen.
Use the live coaching status
- While recording, watch the color in the dock: red, yellow, or green.
- This reflects how well the call is tracking against the ADD framework (Align, Discover, Design, Decide) — use it as a real-time nudge, not a strict scorecard.
Stop and review a recording
- Click Stop in the recording dock when the call ends.
- Go to
/recordingsto find the finished recording. - Review the transcript and AI summary.
Tips & Warnings
Tip: The recording is mic-only by default — it captures what's said, not system audio or video, so it's meant for phone/voice conversations.
Warning: Because recording can start automatically from certain quick actions, make sure the customer is aware they're being recorded per your team's disclosure practice.
Note: ADD in this context (Align, Discover, Design, Decide) is the live coaching framework used during recordings; it's related to but not identical to the 4-box intake framework on /bookings/new (Align, Diagnose, Design, Decide) — the wording differs slightly between the two.
